Getting started

Start with one group and a small amount of practice. Once you can see the students’ saved results, you have the essentials in place.

Before you begin

Sign in with your enabled teacher account at /teachers. Check the exam shown in the header and your available seats. Teacher access and school seat allocations are arranged with PrepEx; a learner account alone does not open the teaching workspace.

  1. Invite your students. Choose Invite Student, enter their emails, and send the invitations. Check the roster after they accept.
  2. Save your class as a group. Go to Students & Work → Groups → Create group. Give it a recognizable name and select its students.
  3. Assign the first practice. Open the group, choose Assign Practice, select the exercises, and add a due date and a short instruction.
  4. Tell students how to start. They should open the assignment’s Start link in their exam’s Practice Hub, complete the task, and wait for the saved result.
  5. Review and plan. Open Assignment tracker, choose the work, and review each student’s linked attempt. Use the evidence to choose your next teaching focus.
Example · A manageable first week

Assign one Reading exercise and one Writing task to your group. Ask students to complete both before your next lesson and bring one question about the feedback. Review the attempts beforehand, then use a shared difficulty as the lesson focus.

Dashboard navigation

The header keeps your workspace and exam in view. If more than one exam is enabled for your school, use Exam to switch. Each exam has its own roster, access, groups, assignments, and courses.

Overview

Open practice opens the current exam in a new tab under your own account. Use it to familiarize yourself with the learner experience. To review a student’s work, open their saved attempt from the dashboard.

This guide covers the shared workflows for enabled TOEFL, IELTS, and CELPIP teaching workspaces. Available exercises, scoring details, recordings, and reporting coverage vary by exam. Use the options in your current dashboard as the guide to what is available.

Student invitations and access

Overview or Students & Work Invite Student

  1. Choose Single invite for one email, or Batch invite for a list. In a batch, put one email on each line or separate them with commas; duplicates are skipped.
  2. Choose Send Invite and review the result. PrepEx emails each student a private invitation link. A single-invite confirmation also offers Copy Link.
  3. Ask students to use the invited email. New students set their password and complete setup; existing account holders sign in. Invitations last 7 days.
  4. Open Students & Work → Roster. If a student is Awaiting approval, use Approve. If their row offers Grant Seat, check their access and allocate a seat when appropriate.

Read access and activity separately

An active roster connection does not tell you how recently a student practised. Check Last active and their activity record for that. A group membership also does not grant Pro access.

The seat summary distinguishes allocated seats, pending reservations, and availability. If there is no capacity, contact your school administrator or PrepEx. School access is exam-specific and can expire; a student’s independently paid subscription may continue separately.

Use the roster’s View filter to find pending invitations, students awaiting approval, active seats, or revoked connections. Unaccepted rows offer Cancel Invite or, after expiry, Remove invitation. These actions retain an operational record in History.

Handle access changes deliberately

Revoking a school seat removes the access provided by that seat. It preserves saved work and does not cancel a student’s personal subscription. Check the confirmation and the student’s current access before proceeding.

Student groups

Students & Work Groups Create group

  1. Name the group so you can recognize its class or intake, select students from the roster, and save.
  2. Choose Open group to see its members and assigned work. Use Assign Practice for homework or Assign Course for a planned sequence.
  3. Use Edit group to rename it, update membership, or change its Active/Archived status. Choose Save group to apply the changes.

Membership changes affect future recipient selections. Adding a student to a group does not give them its earlier assignments or enroll them in an existing course run. Earlier work keeps its original recipients and results.

Archiving a group removes it from recipient pickers while keeping its record. You can restore it to Active later.

A group answers “who?”

A reusable list of students, such as “Tuesday evening class.”

A course answers “what, and when?”

A sequence of sessions and practice that you schedule for selected students.

Assigning practice

Students & Work Assign Practice

You can also begin from Overview, an eligible student’s record, or a group. Starting from a student or group preselects those recipients.

  1. Students. Select individuals or add saved groups. Search narrows the list; Select all visible eligible selects the matching eligible students. Check the unique recipient count and remove any unwanted selections.
  2. Practice. Choose Browse exercises, pick a section and task type, and search by title or topic. Select one or more exercises, then choose Use N exercises. Selections stay with you while browsing other task types.
  3. Schedule & note. Add an optional due date and instructions. A custom title is available for a single exercise; multiple exercises keep their catalogue titles. The same date and instructions apply to every selected exercise.
  4. Review. Check students, exercise titles, and the date, then choose Assign Practice. Each exercise appears as its own work item in the tracker.
Example instruction

“Complete the exercise before Thursday’s class. Read the feedback after submitting and bring one question about an answer you found difficult.”

A practice due date means the end of that day in your browser’s timezone. It identifies late work; it does not close access at the deadline. For staged release dates, use a scheduled course.

You can select up to 50 exercises at once. Overlapping groups are counted once per student. If a group has changed or a selected student needs access, refresh and review the recipients before retrying.

TOEFL includes assignable full practice tests. IELTS includes its supported individual tasks and full Speaking assessments. CELPIP supports individual task families; full CELPIP section tests and full practice tests are not currently assignable.

The student experience

Share these steps with your class

  1. Sign in with the email your teacher invited.
  2. Open the correct exam’s Practice Hub and find Teacher assignments.
  3. Read the instructions and due date, then choose Start on the assigned work.
  4. Complete and submit the task. Wait for the result to save, then read the feedback.

Available, unfinished work can also appear in the student’s dashboard notice and notifications. Future course work becomes available at its scheduled release time.

Students should start from the assignment, even if they can find the same exercise elsewhere. Completion is linked to the saved attempt made through that assignment. An unrelated earlier attempt does not automatically complete new homework.

Closing the dashboard notice does not cancel the work. Where available, a student’s Hidden assignments view lets them restore personally hidden work; it still appears as incomplete to the teacher until completed.

Assignment tracking and review

Students & Work Assignment tracker Select the work

The tracker groups the same assigned exercise into one work item with recipient and completion totals. Search by assignment or student; use Active, Past due, Scheduled, Completed, Archived, or All to find the right work.

Open / Scheduled
Open work is available and unfinished. Scheduled work has not reached its release time.
Completed on time / Completed late
The saved completion time is compared with the deadline. Without enough timing information, the label is simply Completed.
Not completed
The work is past due and no linked completion has been recorded.
Awaiting score / Result unavailable
A score is still pending, or a verified result is unavailable. Neither label means the student scored zero.

Open the actual submission

Choose a student in the results workspace and use View attempt, or View test results for an assigned full TOEFL test. You can also reach assigned attempts from a group’s work or a student’s Assignments view.

Review the saved answers, responses, available feedback, and task-specific scores. This opens the linked attempt, rather than replacing it with the student’s latest practice. Older work without verified attempt evidence may show an unavailable message.

For a broader picture, open a student from Roster. Their Overview, Activity, Assignments, and Reports views bring their record together. Use previous/next student navigation to work through the filtered roster.

Use results to choose the next lesson

Compare like tasks and score scales, read the response behind the number, and look for a repeated difficulty. PrepEx scores and AI feedback support teaching; they are practice estimates, not official exam results.

Keep the tracker useful

Archive assignment moves work out of the current tracker and overdue follow-ups while retaining student access, completion, and results. Restore to tracker brings it back. Cancellation changes the assignment’s availability; course-generated work is cancelled through its course run. Choose the action that matches your intention.

Courses and scheduling

Courses Create course

  1. Enter a course name and an optional overview. Add sessions with Add session and arrange them in teaching order.
  2. In each session, use Add practice → Browse exercises. Each practice row selects one exercise. Add more rows when you need more exercises.
  3. Set Starts after (days) for the session’s suggested spacing and Due after class (days) for each practice item. Choose Save course.
  4. On the saved course, choose Schedule. Name this run, confirm the displayed Schedule timezone, and review every session’s actual date and time.
  5. Select students or a saved group, check the enrollment, and choose Schedule course. Review the run under Scheduled courses and its work in the assignment tracker.

Saved course

Your reusable plan: session order, exercises, and relative timing. Saving the plan alone does not assign it to students.

Scheduled course

A specific run with actual students and dates. Each new run starts with its own enrollment and progress.

Work releases at its session’s scheduled time. Before release, it appears in Scheduled rather than current completion totals. Due offsets are calculated from the session schedule.

Editing a saved course creates a new version for future runs. It does not rewrite an existing run’s exercises, dates, or results. Cancelling a run preserves completed work and withdraws its incomplete assignments.

Personal follow-ups

Overview Follow-ups

Follow-ups bring together approvals, past-due work, invitations waiting at least three days, and eligible students with a seven-day practice gap. Open an item to investigate before deciding what to do.

Use Snooze for tomorrow, a week, or a custom date and time; Dismiss removes an item from your open list. You can review Snoozed or Dismissed items and restore them while the underlying issue still qualifies.

These are personal reminders. Snoozing or dismissing one does not contact a student, change a deadline, complete work, or alter a colleague’s list. Resolved issues disappear from the reminder views; use History for the operational record.

Reports and recordings

A report for an individual attempt

From an available attempt review, Download report exports an HTML report with the saved response and feedback. Print / Save PDF opens your browser’s print flow. Recording links remain separate and may expire.

A student’s progress report

Open Roster → Student → Reports. Review the available progress snapshot, add a teacher note and recommendations, and export the guardian-facing PDF. Include a specific next step, such as which skill the student should practise before your next meeting.

In History → Recent Report Exports, Regenerate produces a fresh PDF using the latest available data. Reporting coverage varies by exam; missing scores or activity are not evidence that a student failed a task.

History and supported recordings

Use the History type filter to find who performed an invitation, approval, seat, assignment, report, or recording-setting action.

In TOEFL, Settings → Student Recordings controls storage of supported Listen & Repeat and Interview recordings. Where a retained recording is available, the student activity view offers playback or download. Enabling storage does not recreate earlier recordings. CELPIP Speaking recordings are not retained for teacher playback; IELTS internal audio archives are not exposed in assignment reports.

School management

Teachers manage the students and work they are authorized to access. Active school owners and administrators can manage the shared school scope. If you have that membership, the workspace menu offers School management.

School management brings together teaching-team, group, student, seat, and assigned-work summaries. Search and filter to find a teacher’s work, then follow its links into the existing teaching views. Seat or membership counts describe operational access; use activity evidence to understand recent practice.

Changing your selected exam does not move students or grant access to another product. For school onboarding, additional teachers, seat-pool changes, or renewals, contact your school administrator or PrepEx support.

Troubleshooting and support

I cannot open the Teacher Dashboard.

Check that you are signed in with the account enabled for teaching. A learner subscription does not create teacher permissions. Contact your school administrator or PrepEx support to check your setup.

A student has not received their invitation.

Check the email you entered and ask the student to check spam. For a single invite, use its private copied link if available. Links expire after seven days. Review the roster’s pending or expired invitation state before creating a replacement.

A student is in my group but cannot open Pro work.

Group membership alone does not grant access. Check their roster status, any required approval, their exam, and the available school seat or academic connection. Check whether the school’s access has expired. Contact support if the displayed access does not match your arrangement.

I added a student to a group. Where is their earlier work?

Group changes affect future assignments. Earlier assignments and scheduled course runs retain their original recipients. Assign the required exercises to the new student separately, or schedule an appropriate new course run.

A student says they finished, but the tracker still shows open work.

Ask whether they used Start on that assignment and waited for the result to save. Refresh, then check their Activity and Assignments views. An earlier or independently opened attempt may not be linked. If a matching saved attempt exists, send support the assignment and attempt details so the completion can be investigated.

Why is scheduled work missing from a student’s current list?

Check the session’s release date, time, and schedule timezone. Future work remains Scheduled and is excluded from current completion totals until release. Also check the student’s enrollment and current exam access.

How do I clear old work without withdrawing it?

Open the work in Assignment tracker and choose Archive assignment. The student can still complete it and the results remain available. Restore to tracker returns it to the appropriate current view.

Why is a score or recording unavailable?

Scoring may still be pending, historical work may lack a verified attempt link, or that task may not retain recordings. Check the actual attempt and the exam’s supported review options. Enabling recording storage later cannot restore audio that was never kept.
